Job Description:

The Associate Project Manager provides administrative support for scientific research programs under the supervision of a Scientific Program Manager and the Director of Science.  The work will focus primarily on HIV/AIDS vaccine research.

Key Responsibilities:

Provide administrative support to the Scientific Program Manager, including:

  • preparation and communication of reporting instructions and templates to FNIH grantees, including establishing timelines for the reporting process
  • supporting the initiation of new programs and grants as needed
  • monitoring compliance with reporting requirements and following up on non-compliance issues
  • gathering and consolidating grantees’ reports and program metrics
  • managing service contracts with external vendors in support of project activities
  • ensuring awardees’ compliance with grant terms and conditions
  • standardizing project infrastructure and operating procedures

Assist with the planning, executing and documenting periodic and ad hoc meetings including:

  • Scientific Advisory Board annual meetings
  • Project Management Committee quarterly meetings
  • quarterly, monthly and weekly administration meetings with program leadership and/or donors
  • meetings with institutional staff and representatives to establish and maintain coordination among program, finance, and other administrative staff

Minimum Qualifications:

A Bachelor’s degree and at least two years project management experience or any equivalent combination of education and experience that provides the following knowledge, abilities and skills:

  • demonstrated ability to work within complex, multifaceted projects 
  • demonstrated ability to communicate and work well with all levels of organizational structures
  • strong analytical and logistics skills
  • demonstrated ability to design and implement effective workflow processes and procedures, handle multiple tasks simultaneously, and meet deadlines
  • demonstrated ability to ensure completeness, accuracy and integrity of data and relevant documentation
  • demonstrated ability to take initiative, solve problems and follow through

Desired Qualifications:

  • Knowledge of project management software, such as Microsoft Project
  • Degree in the biological sciences or demonstrated knowledge of scientific or biomedical research
  • Skill in the acquisition and use of productivity software
